Creating a report to analyze variances in portfolios
You can create a report to view the list of portfolios, their start and end dates, and understand if there are any variances. The reports will help Portfolio Managers identify portfolios that have deviated from their planned schedule, cost, and effort, and collaborate with respective project managers to determine the reason for these variances.
Perform the following steps in the Portfolio Overview dashboard that you have created as part of the Creating KPIs to analyze portfolio costs task:
- Click the
icon from the toolbar to insert a blank visualization.Tip: To change the position of the visualization, drag the visualization title bar and place it in the required position.
- Perform the following steps from the DATASETS panel:
- Drag the Portfolio, Portfolio Start Date, Portfolio Finish Date, Portfolio Schedule Variance Color, Portfolio Cost Variance Color, and Portfolio Effort Variance Color attributes into the Rows field of the Editor panel.
- Drag the Total Planned Cost and Benefits Target metrics into the Metrics field of the Editor panel.
- Optional: To display the variance values in color instead of textual values, perform the following steps:
- From the Rows field of the Editor panel, right-click the Portfolio Schedule Variance Color attribute and then click Thresholds....
- In the Thresholds dialog box, click New Threshold and select Portfolio Schedule Variance Color from the Based On area.
- From the Select area, click the In List option.
- From the Browse Elements area, select the required value, for example, Green and click
. - Click the Sample button under the Format Preview column.
- From the Colors and Borders area, click the Fill Color drop-down list and select the color you want to display in the report for this threshold condition.
- Click
to save your changes. - Repeat steps '3.b' through '3.g' to set threshold conditions for the remaining values of the Portfolio Schedule Variance Color attribute.
- Click OK to save and apply the formatting changes to the values in the report.
- Similarly, perform steps '3.a' through '3.i' to specify thresholds for the Portfolio Cost Variance color and Portfolio Effort Variance color attributes.
Tip: To rename the visualization title, click the
icon in the visualization title bar and then click Rename.
The report lists all the portfolios and displays their variances and costs with the corresponding values.
